How duplicate ticket review works

Where staff see it: duplicate flags and review details are seen inside Analytics > Form / Ticket Period > Doorlist, where staff already review service lists, tickets, counts, and cleanup actions.

A possible duplicate does not automatically mean a registration is wrong or that a family intentionally registered twice. It means SchoolMealPass found records that are similar enough to deserve staff review before counts, service lists, or exports are finalized.

Important: the duplicate checker is a review tool. It does not automatically delete tickets, remove registrations, change eligibility, or make the final decision for the district. Staff can compare the flagged records and decide whether to leave them, correct them, or void one if it truly is a duplicate.

How staff use it
  • Review why the record was flagged
  • Compare the related registrations side by side
  • Confirm whether it is a true duplicate or a valid separate record
  • Document cleanup through normal ticket actions, such as correction or voiding
1. Registration is submitted The system stores the ticket/order details and compares the new record against existing records for the same workflow.
2. Possible overlaps are scored Matching fields and close similarities are used to identify records that may represent the same student or household.
3. Staff see the reason From Analytics > Form / Ticket Period > Doorlist, the review screen explains why the record was flagged, such as matching contact info, similar names, or the same service period.
4. District decides Authorized staff make the final decision and keep, correct, or void records according to district procedure.

This gives districts a consistent, documented review process for duplicate data. The goal is to reduce duplicate meal reservations, prevent accidental over-counting, and make it easier to show that potential duplicate registrations are being actively checked and reviewed.
