SchoolMealPassTM by TicketHarmony®

K-12 meal tracking software built for real-world child nutrition operations.
Run Breakfast in the Classroom, summer feeding, guest meals, and events — all in one system.
Scan fast, reduce manual work, and keep counts clean and audit-ready.

QR verification Household linking Automated waitlists District-wide duplicate prevention Review-ready counts & exports

Real-world proven: trusted by school nutrition teams, used by thousands across the USA, and previously highlighted by No Kid Hungry in a national school nutrition spotlight.

SchoolMealPass replaces paper logs, spreadsheets, and manual tracking with one simple workflow. Set your rules, import your roster or collect registrations, and issue QR passes to families. On service day, staff scan with any device to verify meals and automatically generate clean, review-ready counts.

Built-in AI-assisted duplicate detection helps flag potential issues across sites, days, and programs. Staff can quickly review, understand why something was flagged, and make a confident decision — without digging through spreadsheets.

Automated waitlists help districts stay organized when programs, dates, or locations fill up. Instead of tracking overflow by hand, staff can keep demand visible, move families forward faster, and reduce last-minute confusion.

Built to help tame the chaos behind the workflow

A clearer operational view across year-round meal workflows

SchoolMealPass gives your team a clearer view of what’s happening across all meal-service workflows — BIC, summer feeding, guest meals, and more.

Instead of juggling paper forms, spreadsheets, and separate systems, everything runs in one place — helping your team move faster with fewer errors and less cleanup.

Many districts start by replacing just one manual process. From there, they expand into a more complete workflow without needing custom development or complex setup.

The goal isn’t to add more software — it’s to simplify how your team works every day.

Breakfast in the Classroom (BIC) automation

Replace manual tracking and paperwork with a streamlined workflow that keeps meal counts consistent, accurate, and easy to review.

Summer feeding (congregate and approved non-congregate)

Use registration windows, service rules, locations, and de-duplication to keep lines moving and reporting clean.

Holidays & special events

Thanksgiving meals, winter break, field day—collect RSVPs, plan portions, and serve efficiently.

Location-specific operations

Support multiple schools and sites with consistent rules and clear counts by location.

On-site meals or pickup

Scan at service. Surface key notes and household links at the point of verification.

Planning and forecasting

Use historical activity, automated waitlists, and demand trends to plan quantities and staffing with fewer surprises on service day.

New Command Center dashboard

See the whole meal-service operation live

SchoolMealPass gives child nutrition teams a live command center for active programs, upcoming openings, orders, passes, scans, alerts, and site-level activity — all from one cleaner view.

Instead of waiting until after service to clean up spreadsheets or chase down numbers, staff can see what is happening across the district while programs are open and families are being served.

How duplicate ticket review works

Where staff see it: duplicate flags and review details are seen inside Analytics > Form / Ticket Period > Doorlist, where staff already review service lists, tickets, counts, and cleanup actions.

A possible duplicate does not automatically mean a registration is wrong or that a family intentionally registered twice. It means SchoolMealPass found records that are similar enough to deserve staff review before counts, service lists, or exports are finalized.

Important: the duplicate checker is a review tool. It does not automatically delete tickets, remove registrations, change eligibility, or make the final decision for the district. Staff can compare the flagged records and decide whether to leave them, correct them, or void one if it truly is a duplicate.
What is checked
  • Student first and last name
  • Guardian or parent name
  • Email address and phone number
  • School, site, grade, and location
  • Registration form, order, and meal service/date period
  • Student ID, roster ID, or SIS ID when available
How it flags matches
  • Exact matches, such as the same student and same meal period
  • Repeated parent contact information across similar registrations
  • Close name matches caused by spelling, capitalization, nicknames, or typos
  • Records that share enough details to look like the same student or household
How staff use it
  • Review why the record was flagged
  • Compare the related registrations side by side
  • Confirm whether it is a true duplicate or a valid separate record
  • Document cleanup through normal ticket actions, such as correction or voiding
1. Registration is submitted The system stores the ticket/order details and compares the new record against existing records for the same workflow.
2. Possible overlaps are scored Matching fields and close similarities are used to identify records that may represent the same student or household.
3. Staff see the reason From Analytics > Form / Ticket Period > Doorlist, the review screen explains why the record was flagged, such as matching contact info, similar names, or the same service period.
4. District decides Authorized staff make the final decision and keep, correct, or void records according to district procedure.

This gives districts a consistent, documented review process for duplicate data. The goal is to reduce duplicate meal reservations, prevent accidental over-counting, and make it easier to show that potential duplicate registrations are being actively checked and reviewed.

Summer Feeding 2026 Planning Deadline
License due by May 1, 2026

If you plan to use SchoolMealPass for Summer Feeding 2026, your district license must be paid in full by May 1, 2026. This reserves your launch window and ensures we have the tools, resources, and infrastructure in place to support your workflows at peak volume.

  • Program setup + testing: service rules, locations, registration windows, and dry-run verification.
  • Staff readiness: validations, and staff alignment before service begins.
  • Capacity planning: scaled readiness for high-volume days and fast support when it matters most.

Adopt early and talk to us about your exact workflow. If there’s a step your team is doing manually (paper, spreadsheets, duplicate checks, lane rules, special eligibility, etc.), we can often automate it. When an enhancement adds value to the platform for other districts too, we’ll frequently build it in at no added development cost—and it’s included in your license. That’s the “harmony” in TicketHarmony: creating harmony across systems, people, and processes so service is faster, cleaner, and less stressful for your team.

SchoolMealPass District Licensing

SchoolMealPass is licensed as an annual, year-round district license for K-12 child nutrition operations (BIC, guest meals, holidays/events, summer feeding, etc). No per-meal charges, and no “ticket bucket” purchase required. For tickets with no cost, there’s no fee. For paid tickets, our standard pricing applies—but you still pay nothing out of pocket: the TicketHarmony fee + card processing are bundled into a single TicketHarmony Convenience Fee that’s passed to the purchaser, so your program receives 100% of the ticket face value. No contracts. No red tape. Enrollment and budgets change year to year, so we review things with you near renewal and keep the partnership aligned—our goal is to operate as an extension of your team long term, not just another vendor.

Annual year-round license (district enrollment-based)

Annual year-round license (district enrollment-based): this is our standard plan and what most districts choose for ongoing operations and expansion beyond summer.

Tier District size (student enrollment) Annual license
Tier 1 Up to 3,000 $3,500
Tier 2 3,001–6,000 $5,000
Tier 3 6,001–9,000 $6,500
Tier 4 9,001–12,000 $8,000
Tier 5 12,001–15,000 $9,500
Tier 6 15,001+ Contact Us

Summer-only license (ticket-based)

If you’re starting with summer feeding only and want a simple seasonal option, we offer a summer-only license based on the total number of tickets you plan to issue for the season.

Summer tier Tickets (season total) Summer license
Summer Tier 1 Up to 15,000 $3,000
Summer Tier 2 15,001 – 30,000 $4,000
Summer Tier 3 30,001 – 50,000 $5,000
Above Summer Tier 3 50,001+ Move to annual
Summer-only licensing is limited to seasonal (summer feeding) program use. Any use outside of the summer scope—including additional program types, non-summer service windows, or year-round operations—requires conversion to the annual year-round district license at the then-current rate.
